1. Project Kick Off

1. Project Kick Off

A brief kick-off meeting will be held over the phone or in person with key members of the K2fly project team and representatives to revisit and confirm the project deliverables and expectations agreed in the sales process. The session will also address project outcomes, key milestone delivery dates and stakeholder responsibilities.

A face-to-face workshop will be held between the key members of the K2fly project team and representatives to outline the project plan and system configuration requirements. The K2fly service includes a time allocation for project preparation and planning following from the Project Kick-Off meeting, as well as project management to deliver the scope of work. This is a critical element of the project because it will be necessary to review, identify and analyse all data, associated processes and roles/responsibilities that form the basis of the configuration and data migration.

Following the workshop, our team will gather client data and populate a data configuration template which will form the database design. Based on the data configuration template approved by the client, our team will execute the database design in line with the outlined requirements. Once complete, we will then work with the client to validate and cleanse all historical data and populate it into a standardised and importable format. This will be loaded to the client database, mapped to the configuration setup prior.

Following the configuration of the test environment, our team will deploy a dedicated client test environment on our servers and conduct on-site, face-to-face training with the client. Training can be executed as a train-the-trainer approach whereby select users will train other staff, or alternatively, our team can train all identified users. User Acceptance Testing (UAT) provides you with an environment that has been configured to the clients' requirements along with historical data. After training, users will be equipped with the necessary skills and knowledge to conduct UAT across the system at their own pace in the lead up to going live. UAT also provides users with an opportunity to review the database and make any last minute requests for change to your dedicated implementation consultant before proceeding with entering a production environment where your allocated System Administrator(s) will be responsible for maintaining the system and any changes to your data.

5. Go-Live

Go-live is the transition of your test environment into production. Following finalisation of the deployment and user acceptance testing, our team will copy the test environment and deploy a production, or ‘Live’, environment for the client for broader use by the client users. This is intended to now provide users with a way to capture live, real data and begin to maintain their data independently of K2fly.

The dedicated Project Manager will coordinate a project close out meeting with the dedicated client Project Representative. Together, the teams will discuss findings, lessons learnt and any new ideas for product or process improvement. As part of this session, a handover will also take place to introduce the client to the Support Desk and Product Team who will help to manage the relationship now that the project is complete and the client enters the Support and Maintenance phase.
